Scheduling Information

PROGRAM SCHEDULING: To schedule a program, call us at (215) 868-8456, or complete the scheduling form at the back of this Guide or online at www.yaep.org. Once specific artists and dates are confirmed, we will send you a Program Agreement, which also serves as your invoice.   Please note:   When signing the Program Agreement, you are agreeing to the policies included in this Guide.

PAYMENT
Payment is due BEFORE the date of the confirmed program. If payment is not received 10 calendar days after a completed program, and a second billing is necessary, or staff follow-up is required, a service fee of $15.00 will be added. NOTE: All checks should be made payable to "Young Audiences of Eastern PA." We ask that you do not pay artists directly.

RESCHEDULING/CANCELLATION POLICY
If an artist is unable to perform due to illness, inclement weather or unforeseen circumstances, Young Audiences will notify the school immediately and offer the option of rescheduling, substituting another program or receiving a full refund. Confirmed programs cancelled by the school with less than 14 days' notice are subject to partial payment since artists refuse other work when a date is scheduled and confirmed. A confirmed program cancelled with less than 7 day's notice is subject to full payment.

AUDIENCE/CLASSROOM LIMIT
Audience and classroom size limits must be observed. They are determined by the artists to provide an optimal learning experience for students. In the event that schools exceed audience limits, $1 will be charged for each student over the limit. There cannot be an exception to size limitations for programs and residencies.

TRAVEL FEES
Flat travel fees apply to some artists. Other artists are reimbursed for travel of 25 or more miles outside Center City Philadelphia. If a program is scheduled more than 100 miles from Center City Philadelphia, the school will be billed for the artists' lodging and per diem. Applicable travel fees will be included on your Program Agreement/Invoice.

OTHER FEES
Back-to-back programs should be scheduled within 30 minutes of each other. If artists are required to wait more than 30 minutes between programs, an additional fee will be incurred. Should an artist/ensemble be required to change sites between programs, either within the same school or at a nearby school, an additional fee of at least $15 will be charged, depending on the size of the ensemble.
VIDEOTAPING AND PHOTOGRAPHY
Videotaping and photography of Young Audiences artists must be approved only with advanced permission of the artist. To obtain permission, call the office at (215) 868-8456.

PLEASE NOTE: A licensed teacher must be present at all times during Young Audiences of Eastern Pennsylvania's programs.

TECHNICAL REQUIREMENTS
Please read the technical requirements noted on the Program Agreement and be certain your school can accommodate them. If not, you must call Young Audiences at least one week prior to the program so that other arrangements can be made. Otherwise, the artist may refuse to perform.

COMMUNITY AND FAMILY PROGRAMS
The fees listed in this Guide are for school programs only. Many of our artists are available for evening and weekend programs. Consider our artists for family and community events and family arts festivals. Inquire about fees, which are higher than those listed in this Guide.

SUPPORT IN SECURING FUNDING
Residency partnership grants are available through the Philadelphia Arts in Education Partnership (PAEP). Visit www.paep.net for grant application deadlines. Our Program staff will work with schools in developing a residency and the proposal.

Promoting accessibility to the arts is important to Young Audiences. All clients are required by law to address the extent to which facilities are accessible to persons with disabilities. These parameters are defined by Section 504 of the Rehabilitation Act of 1973 and by the Americans with Disabilities Act of 1990.
